Terms and Conditions

Please read the following terms and conditions carefully. You must not make any booking unless you understand and agree with the following terms and conditions. References to “us”, “we” and/or “our” in these terms and conditions means Inspiring Women Trips.

1. Passports & Visas

All travellers must have a valid passport for international travel and many countries require at least six months validity from the date of return.

You must ensure all travellers on the booking have valid passports, visas and re-entry permits which meet the requirements of immigration and other government authorities. Any fines, penalties, payments or expenditures incurred due to such documents not meeting the requirements will be your sole responsibility. If you need information regarding visa and other travel document requirements for your trip please let us know.

2. Travel Insurance

Travel insurance is compulsory for Inspiring Women Trips trips. Travel Insurance is strongly recommended by the Department of Foreign Affairs and Trade for all overseas travel.

3. Prices

All prices are as listed on the Inspiring Women Trips website at the time of Inspiring Women Trips receiving the Deposit.

4. Deposit and Payments

Your booking is not final until we have received the deposit. Deposits are non-refundable. You are advised to take out travel insurance as soon as you book to cover cancellation. 50% payment is required 6 months before trip commencement and final payment is required 60 days before trip commencement.

5. Cancellations

Cancellations must be notified to Inspiring Women Trips in writing. The following will apply regarding cancellations:

  • Deposits are non-refundable.
  • If you cancel before the trip departure date and we can fill your place you may be refunded your payment minus the deposit.
  • Inspiring Women Trips recommends travel insurance is taken out at the time of booking to cover cancellations for unforeseen reasons.

6. Minimum Trip Numbers:

If the number of bookings for a trip is not reached you will be offered a full refund or the option to move your trip to another guaranteed date.

7. Trip Itinerary:

Itineraries may change due to unforeseen circumstances. Such changes may include accommodation and travel route. You will be advised of any changes as soon as they are confirmed.

8. Agency:

Inspiring Women Trips acts as an agent for international travel service providers such as accommodation and transportation services. We exercise care in the selection of reputable service providers, but we have no control over, or liability for, the services provided by third parties. Bookings are made on your behalf subject to the terms and conditions imposed by these service providers.

9. Travel Advice:

Please contact the Department of Foreign Affairs and Trade or visit their website at www.smartraveller.gov.au for general travel advice, health requirements and safety alert levels relating to the destination you wish to visit.

10. Health and Fitness:

You must ensure that you are aware of any health requirements for your travel and ensure that you carry all necessary vaccination documentation. We recommend that you consult with your local doctor or specialist vaccination clinic before commencing your travel for any vaccination requirements. You must be in good health and physical condition for your selected tour.

11. Guides:

In this condition, Guides includes the Inspiring Women Trips host and any other nominated person given, at any time, the task of leading or supervising any aspect of the trip. Guides may exclude you from participation on the trip if, in their absolute discretion, believe you should not participate in the trip due to health and fitness reasons. Guides have the authority to stop your participation if you have committed an illegal act or if, in the opinion of the Guide, your behaviour is causing or likely to cause danger, distress or annoyance to others, or your fitness or health is inadequate. In this case you will be directed by the Guide to discontinue with the holiday and tour and you will not be entitled to any refund.

Inspiring Women Trips has the right to change the host leading and supporting the holiday and tour at any time up to departure.

12. Travel Documents:

Travel documents include (without limitation) airline tickets, hotel vouchers, tour vouchers or any other document (whether in electronic form or otherwise) used to confirm an arrangement with a service provider. Travel documents may be subject to certain conditions and/or restrictions including (without limitation) being non-refundable, non-date changeable and subject to cancellation and/or amendment fees.

Travel documents cannot be transferred to another person to use. All airline tickets must be issued in the name of the passport/photo identity holder. An incorrect name on a booking may result in an inability to use that booking and the booking being cancelled. Any errors in names, dates and timings on your documentation will be your responsibility if not advised at the time of booking.

13. Flights:

As you will be organising your own flights, Inspiring Women Trips are not responsible for costs associated with any flight delays and unforeseen circumstances which may arise.

14. Accommodation:

While every guest will always have a private room and bathroom, you may be asked to share a double bed with your child, due to constraints with certain hotels. Let us know if this is not acceptable.

15. Privacy Policy:

Inspiring Women Trips is committed to protecting your personal information.

16. Risk:

You acknowledge that the nature of our itineraries may involve some personal risk. You hereby assume all such risk for all itineraries, bookings and tours and release us from all losses, costs, damages, expenses, payments, claims or actions arising from illness, injury, disease, loss or damage to property, discomfort and inconvenience or death resulting from these inherent risks. You agree that we will not be liable to you for any losses, costs, damages, expenses, payments, claims or actions suffered or incurred by you in relation to all itineraries, bookings and tours that you take. It is a condition of our bookings as in item 6 above that you must have adequate travel insurance to cover you should you have any problems while away.

It is your responsibility to minimise your personal risk by ensuring:

  • Each activity is within your recognised capabilities.
  • You make every effort to remain with the rest of the group during the holiday and tour.
  • You have prepared for activities by carrying the recommended water, food and equipment.
  • If you become unwell, you notify an Inspiring Women Trips Guide and together determine a course of action.
  • You advise Inspiring Women Trips if you are taking any medication or have any physical or other limitations that may affect participation in an activity.
  • If you are taking any medication, you ensure you have enough for the duration of the holiday and tour plus additional in case of any unforeseen circumstances.
  • You will comply with all reasonable instructions from the Inspiring Women Trips Guide.
  • You permit the Inspiring Women Trips Guide to direct you in case of an emergency.

    17. Liability:

    Inspiring Women Trips does not accept any liability in contract, or otherwise for any injury, damage, loss (including consequential loss), delay, additional expense or inconvenience caused directly or indirectly by the acts, omissions or default, whether negligent or otherwise, of third party providers over whom we have no direct control, force majeure or any other event which is beyond our control or which is not preventable by reasonable diligence on our part.

    Our liability will also be limited to the extent that any relevant international conventions, for example the Montreal Convention in respect of travel by air, Athens Convention in respect of travel by sea, the Berne Convention in respect of travel by rail and the Paris Convention in respect of the provision of accommodation, limit the amount of compensation which can be claimed for death, injury, or delay to passengers and loss, damage and delay to luggage. Under circumstances where our liability cannot be excluded and where liability may be lawfully limited, such liability is limited to the remedies required of us under applicable law (including the Australian Consumer Law). This liability clause is subject to your rights under the Australian Consumer Law and nothing in these terms and conditions is intended to limit any rights you may have under the Competition and Consumer Act 2010.
